The Institute of Translational Genomics (ITG) at Helmholtz Munich focusses on translating insights from genomics and multi-omics in order to empower personalized medicine. The ITG Operations Team is the institute’s interface with administration, and with internal and external stakeholders.

The Operations Team is looking for a motivated Personal Assistant (f/m/x) to the Director of the Institute.

Your tasks

  • Managing complex diaries, e-mails and meeting requests, arranging conference calls
  • Liaison, co-ordination and communication with internal and external stakeholders, acting as first point of contact for internal and external partners
  • Coordination of travel arrangements, organization of business trips, including processing of expense claims and reimbursements
  • Providing general administrative services for the team as required
  • Maintenance of an up-to-date web presence of the Institute, its activities, partnerships and scientific outputs

Your profile

  • Experience in scientific administration, service-orientated and experience in working at a high professional standard
  • Ability to work in a fast-paced environment, be adaptable and proactive
  • Excellent communication skills and proficient knowledge of English and German
  • Solid know-how of Microsoft Office (PowerPoint, Word, Excel, Outlook)
  • Excellent organizational skills, structured, rigorous, and reliable, strong interpersonal skills

If you fulfil all the requirements, you may be eligible for a salary grade of up to E 9. Social benefits are based on the Collective Wage Agreement for Public-Sector Employees (TVöD). The position has an (initial) fixed term of 2 years but may be extended under certain circumstances.
