Your responsibilities

  • Managing complex diaries, e-mails and meeting requests, arranging conference calls
  • Liaison, co-ordination and communication with internal and external stakeholders
  • Acting as first point of contact for internal and external partners
  • Coordination of travel arrangements, organization of business trips
  • Processing of expense claims, reimbursements and honorariums
  • Providing general administrative services for the team as required
  • Maintenance of an up-to-date web presence of the Institute, its activities, partnerships and scientific outputs

Your qualifications

  • Experience in scientific administration
  • Ability to work in a fast-paced environment, be adaptable and proactive
  • Excellent communication skills and proficient knowledge of English and German
  • Solid know-how of Microsoft Office (PowerPoint, Word, Excel, Outlook)
  • Excellent organizational skills, structured, rigorous, and reliable
  • Strong interpersonal skills
  • Service-orientated and experience in working at a high professional standard
